Terms & Conditions
These terms apply to every tent hire with Erectus Stretch Tents. By paying your deposit, you agree to the conditions below. If anything is unclear, just ask — we're happy to talk it through.
Deposit & Security Bond
A 30% deposit is required to secure your booking date. The deposit is non-refundable if you cancel within 14 days of your event date (see Cancellations below).
A $500 security bond is held on your credit card for the duration of the hire. This is not charged unless there is damage, loss, or a breach of these terms. The bond is released within 3–5 business days after the tent is returned and inspected, provided no issues are found.
Damage, Loss & Liability
You are responsible for the tent and all hired equipment from the time of install until pack-down is complete. Damage caused by negligence, unauthorised alterations, or failure to follow our setup instructions is chargeable.
- Minor damage (small tears, broken guy ropes, lost pegs): repaired or replaced at cost — typically $50–$200.
- Major damage (large tears, structural damage, irreparable fabric): full replacement cost assessed by us and deducted from the security bond or invoiced separately.
- Lost or stolen equipment: charged at full replacement cost.
We carry public liability insurance covering the installation itself. This does not cover damage caused by you, your guests, third-party contractors, or extreme weather events after handover.
Cancellations & Refunds
- More than 30 days before your event: full deposit refunded minus a $50 administration fee.
- 14–30 days before your event: 50% of your deposit refunded.
- Less than 14 days before your event: deposit is non-refundable. The security bond is still returned if no damage occurs.
- Force majeure (severe weather warning, flood, fire, or COVID-19 lockdown): we will transfer your booking to an available date within 12 months. If no suitable date is available, a full refund will be issued.
Date changes are treated as cancellations if the new date is not available. We will always try to accommodate a change before treating it as a cancellation.
Cleaning Fees
Tents are hired clean and must be returned in a reasonable state. Our pack-down team will assess cleanliness on collection.
- Standard wear (dust, light grass stains, minor debris): no charge — expected with outdoor use.
- Excessive cleaning required (food spills, mud, animal waste, wax, paint, glitter, confetti, or confetti cannons): a $150–$400 cleaning fee will be deducted from the security bond or invoiced separately.
- Burns, melted spots, or cuts in the fabric: treated as damage (see Damage section).
Tip: Ask guests not to use confetti, glitter, or sparklers near or under the tent. These are surprisingly destructive and expensive to clean.
Late Returns & Extended Hire
Your hire period is agreed in writing before the event. Standard weekend hire runs from Friday install to Sunday/Monday pack-down unless otherwise specified.
- Early pack-down requested by you: no refund for unused time.
- Late pack-down (you need the tent longer than agreed): notify us as early as possible. Additional hire is charged at $250 per extra day (or part thereof), subject to availability and crew scheduling.
- Unauthorised late return (you refuse access for pack-down or exceed the agreed period without notice): $500 per day late fee, plus any costs from delayed subsequent bookings.
We need clear site access at the agreed pack-down time. If guests, vehicles, or other contractors block access, the late fee applies from the scheduled pack-down time.
Weather & Site Conditions
Stretch tents are engineered to withstand wind and rain when properly tensioned. However, safety comes first.
- Extreme weather (Bureau of Meteorology severe wind, storm, or flood warning for your area): we may delay install, modify the setup, or cancel the hire. In this case, your deposit is transferred to a new date or refunded in full.
- Site unsuitable at arrival (waterlogged ground, unsafe access, obstructions not disclosed): we may be unable to install. The deposit is retained to cover the crew's time and travel. Always send site photos before booking.
- Underground services: you must mark or advise us of any underground utilities (pipes, cables, irrigation) before pegs are driven. We are not liable for damage caused by undisclosed services.
General Conditions
- Supervision: you must ensure guests and contractors do not climb tent poles, hang unauthorised items from the structure, or interfere with guy ropes or anchors.
- Sub-hiring: you may not on-hire, lend, or relocate the tent without our written consent.
- Smoking: no open flames, fireworks, or sparklers inside or within 3 metres of the tent fabric. LED candles only.
- Pets: dogs and other animals are not permitted inside the tent unless previously agreed in writing.
- Access: you agree to provide safe, unobstructed access for our vehicle (minimum 3m width) and crew for both install and pack-down.
- Photos: we may take photographs of the installed tent for our portfolio and marketing. Let us know in advance if this is not acceptable.
- Governing law: these terms are governed by the laws of New South Wales, Australia.
